PA / Office Coordinator
PA / Office Coordinator: A bright, enthusiastic, and meticulously well organised PA / Office Coordinator is required to perform typical PA tasks, and, co-ordinate delivery of administrative tasks across the wider company relating to delivering and reporting on key business metrics.
This a new role in a fast-moving expanding Marketing Services business, and will suit a highly organised, commercially minded, easy-going yet assertive individual with strong administrative skills, a positive ‘can do' attitude, and an ability to keep track of the KPIs across the business and ensure that ‘stuff gets done'.

, Assisting the CEO by managing his 2 inboxes and responding to emails on his behalf - adhering to the daily ‘inbox zero' concept
, Scheduling meetings with prospects, clients, team and suppliers and ensuring that there is always an agenda prepared in advance
, Ensuring that actions are collected from all meetings in a uniform format and followed up on by the various parties
, Booking transport, appointments, restaurants etc.
Office Coordinator Tasks
, Marketing: ensure the outbound marketing activity plan is delivered each month by the relevant people in the business, as per the plan
, Sales Admin: ensure all leads have been contacted in a timely manner by the sales team, followed up on and conversion stats recorded
, Recruitment: Checking in monthly with the team to review our ‘capacity' and assist with recruitment of new team members when required.
Assisting the FD with other day to day HR issues/contracts/compliance
, Operations: ensure the Account Manager team are adhering to internal SLA to respond to all client request same day, coordinating (and initially carrying out) Net Promoter Score interviews with clients once every 6 months to ensure the delivery of a high standard of service.
Checking ‘Client Journey' sheets daily to ensure that the Account Manager team are progressing with actions for clients.
, Finance: ensure scheduling of CEO monthly financial review with the FD, coordinate any actions which arise.
Join monthly meeting with MD to review the Master Planner control sheet and ensure actions are carried out
, Ordering stationary and supplies
, Help design/improve reports and coordinate associated actions
, Other adhoc tasks which arise
This is an exciting opportunity for a PA / Office Coordinator to make an impact for a growing, progressive business.
The company operates a ‘virtual' structure with the majority of staff home based, attending the office 2-3 days per week.
Own transport is essential.
The position is full time.
Competitive salary dependent upon experience.
