Team Administration Assistant

To provide secretarial and administrative support whilst assisting with general office support to the secretarial team and other departments when required.



Key responsibilities
- Manage diaries, including arranging and confirming meetings
- Organising in house lunches/rooms/training days/webinars/meetings
- Assisting visiting partners with secretarial work as and when required
- Dealing with phone calls from clients and contacts, taking accurate messages and ensure the efficient passing on of these
- Monitoring partner/directors/tax team emails and forwarding where relevant
- Audio and copy typing, letters including dictation and handwritten notes, preparing forms for client signature, finalising reports and presentations, creating documents and templates
- Sorting and submitting expenses
- Assist with banking, collecting petty cash and raising cheques etc.


Secretarial team support
- Providing cover for Reception as required, greeting visitors and helping with refreshments
- Assist with banking, collecting petty cash and raising cheques etc.


- Managing incoming/outgoing post
- Supporting the other departments with general administrative duties as and when required, including provision of holiday cover for other secretaries
- Providing training materials, technical updates and publication filing/printing
- Assisting with organising events in the office
Equipment/Software Packages
- M S Word, Excel, Outlook
Education, Skills and Experience
GCSE's - at least 5 at grades A-C to include Maths and English
Previous experience is essential in similar role
Excellent attention to detail with the ability to prioritise workload
Organised with a positive attitude with a willingness to help others
Professional telephone manner
Ability to take the initiative and think ahead
Strong written and verbal communication skills
