Accounts & Contract Administrator - maternity cover

Accounts & Contract Administrator (covering maternity leave / permanent)
Location: Thornaby-on-Tees

£9.50 - £11.00 per hour DOE / 37.5-hour week / Mon - Fri within the hours 8am - 5pm / holiday + BH / pension
The Role
We are a mechanical and electrical family run business based in the Northeast with 37 engineers working for us with over 200 years' experience between them.

We currently employ a wide range of skills which include Air conditioning, Commercial Gas, Plasterers, Plumbers, and Electricians.

We are currently recruiting for an office based, Accounts & Contract Administrator (covering maternity leave / permanent)

Key Responsibilities:

  • Preparation & process supplier invoices and record payments into the CRM and in Xero software and assist in chasing overdue customer accounts.

  • Assist in the preparation of month end payroll; ensuring operatives timesheets are accurately recorded

  • Assist in the logging / data entry of operatives training certificates and dates for renewal into the company CRM.

  • Assist with van and stores management, including audits.

  • Assist in the induction of staff, coordinating new starter paperwork, CRM training and recording the outcome of staff Performance Management meetings

  • Assist in setting up internally and externally training days for operatives

  • Coordinate with clients to organise jobs using email and telephone

  • Raise jobs on CRM and schedule in work, track jobs through the CRM and record updates in the note's sections on the job status

  • Work with Contract Managers to ensure the accurate recording of technician's reports and maintenance records and attach them to the relevant job.

  • Accurately record client's site assets and update their status following the maintenance.

  • Coordinate and set up and attend Client Contract Management meetings and undertake minutes, provide updates, and assist in the preparation of Contract Performance Management reports.

Essential Qualifications / Experience:

  • Experience in a similar role working as an Accounts Administrator

  • Excellent PC / Microsoft skills

  • Experience and competency using Xero

  • Exceptional time management skills and the ability to meet tight deadlines

  • Proven record of superior attention to detail, accuracy, speed, and precision


  • £9.50 - £11.00 per hour

  • 5hrs - within the hours of 8am - 5pm
