Administrator - Planning/Scheduling

We are currently working with a specialist engineering business based in Maidstone.

Due to ongoing growth, they are currently seeking an Administrator to join their established team on a full-time, permanent basis.

Working closely with all operational departments, the Administrator will be responsible for assisting with day-to-day operations, scheduling of works and service-related activities for the engineering team, and acting as a support function to operations management and supervisors.

Responsibilities will include:

, To provide outstanding Customer Service at all times and answer all incoming calls and emails professionally
, Raising work orders for all customer callouts, PPMs, and associated tasks
, Scheduling engineering calls, PPMs, and quoted works assigning engineering resources to tasks ensuring the SLA of the task is achieved, and booking works with the site
, Applying for all appropriate permits/hire of equipment to ensure completion of tasks
, Working together with the Contract Administration team to monitor the engineer's work schedule
daily, ensuring workloads and routes are planned for maximum efficiency for cost-effectiveness and Customer KPI requirements
, Monitor and update all relevant customer portals as and where needed with updates on the status of open jobs
, Manage company Enquiries inbox, collating responses from teams and managers and responding
to all enquiries
, Work with our Group Fleet team to schedule all engineer vehicle appointments, ensuring CRM
system schedule accurately shows up-to-date information
, Manage engineer Weekly Vehicle Check process, ensuring all engineers complete weekly and
running exception reporting to Operations management
, Manage engineer On Call Rota
, Manage engineer holidays
, Setup of new engineering starters on all IT software and applications, including customer apps and company email account
, Undertaking engineer inductions, to explain the service department functions and software/apps to new engineers joining the business
, Mobile phone software/app troubleshooting with engineers, including parking apps, CRM
software and customer applications
, Produce daily, weekly, and monthly customer open-call reports

The ideal candidate will be able to demonstrate:

Previous experience working within a busy office environment
Experience within engineering/FM/contractor business in a similar role
Experience with scheduling workloads and route planning for multiple resources
Experience working with Customer KPI/SLA agreements
Good IT skills including use of Word and Excel
Excellent communication skills
Excellent telephone manner
Excellent interpersonal skills
Knowledge of Aeromark CAFM System or similar would be advantageous
Knowledge of engineering terminology and processes would be advantageous
Good UK geographical knowledge
Must be detail conscious and methodical in approach
Ability to work independently as well as part of a team
Reliable and highly self-motivated
Able to work under pressure
Able to actively build and develop relationships with both colleagues and customers

Package details:

Permanent Contract
Office-based position from their Head Office in Maidstone
Salary - £23,500 per annum- subject to review on successful completion of probation and ongoing development of the role
20 days' annual leave per annum, accruing 1 additional day per year after 3 years' continuous service up to a total of 25 days per annum
Opportunity to work paid overtime during peak Summer months to assist all operational teams (evenings and weekends) with additional earnings of circa £2,000pa - £3,000pa
