Legacy and Archive Officer
Service Care Solutions are looking for a Legacy & Archives Officer to work within the Greater Manchester Police on a 11-month contract.
Location: Warrington
Job role/responsibilities:
The role involves providing support to the Home Office and other organisations in legacy and archive-related work, including leading internal and inter-agency teams if necessary.
Responsibilities encompass delivering information management audits, handling complaints/appeals about data held by Operation Resolve, ensuring compliance with relevant legislation, and establishing Information Sharing Agreements with partner agencies.
The role also entails developing and implementing information and records management standards, preparing data for the National Archive, facilitating Operation Resolve's closure, and addressing legal challenges by producing documents for judicial hearings.
- Retrieving data from HOLMES, Relativity, and Lextranet.
- Recording and evaluating information according to MOPI.
- Safely storing materials and exhibits and ensuring their continuity.
- Reviewing document and exhibit integrity.
- Managing material retention, return, or disposal.
- Partnering with other organisations to streamline processes.
- Handling sensitive data in compliance with laws and protocols.
- Conducting information risk assessments and audits.
- Providing archiving guidance.
- Supervising staff, managing audits, compliance, and advice.
- Handling FOIA, SAR applications, and assisting with reviews.
- Staying updated on legal and policy developments.
- Representing the organization and managing information sharing agreements.
- Analysing and presenting findings in reports.
- Promoting policy adherence and managing data protection risks.
- Ensuring accurate application of laws and protocols.
- Efficiently managing workload and priorities.
Knowledge/Experience required:
- Approachable and diplomatic and remain calm in a busy and demanding environment.
- Extensive experience of computer systems and Standard software packages relevant to Operation Resolve with a good working knowledge of spreadsheets and databases.
- Demonstrable experience in developing and writing procedures, reports and working practices.
- Previous experience demonstrating research and/or analytical skills (could be part of a degree course).
- Demonstrates an understanding of the importance of customer care and quality of service.
- Demonstrates extensive understanding of Data Protection Act, Freedom of Information Act, Computer Misuse Act, CPIA, MOPI, Public Records Act and Information Security.
- Demonstrates good working knowledge of the principles of records management.
Qualifications:
- Degree, HNC (or equivalent), or relevant experience.
- Certificate/Diploma in Records/Information Management/Archiving.
