Responsibilities



  • Successful leading of the PMO processes for projects from initiation to delivery including governance of the stage gate process ensuring it is a fit-for-purpose process that enables effective project delivery

  • Define the best practice approach for Programme Management and culturally embed it into the organisation, so that high-quality programme management processes are adopted widely across the business

  • Strategic lead for all aspects of reporting

  • Data accuracy and risk management

  • Providing and regularly reviewing honest, transparent assessment of the project status and RAID (risks, assumptions, issues and dependencies)

  • Cashflow analysis and forecasting



Project Governance, Control Stakeholder Management and Reporting



  • Establish a project governance, ensuring projects are approved and endorsed before being mobilised.

  • Identify, assess and align dependencies to optimise linkages and circumvent conflict

  • Manage the RAID log ensuring all sponsors are aware of any potential impact

  • Management and maintenance of all tools and templates at both the Project and Program levels -including ownership of the PMO playbook

  • Assurance that all process, procedure's, designs and technical requirements are incorporated within all projects



Budgeting and Capacity Planning



  • Analyse capacity planning across Programmes; assist functional units with resource planning, forecasting, and recruiting to align with requirements

  • Facilitate Stakeholder engagement throughout the intake process

  • Manage Project and Program resource forecasting

  • Coordinate the allocation of new projects with the PMO lead and delivery teams

  • Accountable for the utilization of benchmarking to drive value in the supply chain

  • Co-ordinate value management strategy correlation with Capital Investment Plan

  • PMO support in the collation of Project and Program reporting

  • PMO support in administration of governance meetings

  • Project delivery support through the inception phase, including the engagement with stakeholders and project definition



Contract management and control



  • Accountable for all Project and Program level performance reporting

  • Manage and monitor KPI and Quality Management processes and reporting

  • Stakeholder engagement: able to engage effectively with senior stakeholders to fully understand and meet their needs

  • Contract and supplier management: able to effectively drive strategic partners to deliver on our strategy in an ethical, commercially efficient and service-orientated way

  • Commercial awareness: the ability to convey this in a compelling and persuasive way



Leadership accountabilities Experience you'd be expected to have



  • Manage the Business Case(s) and lead the PMO from inception through to completion

  • Providing leadership and guidance to delivery teams across the directorate

  • Provides oversight of key projects ensuring consistency of approach - mentors and coaches as necessary

  • Experience in operating current FM, projects and property IT systems

  • Experience in analysing, interpreting and presenting key business data

  • Ability to design and implement various final systems and processes
