Safety Service Representative
JOB DESCRIPTION General Purpose of the Job: WTI has established a Safety Solutions Team as a revenue-generating team within WTI designed to expand and create new rooftop opportunities for safety inspections, installations, and overall property owner reassurance for OSHA/ANSI compliance, supporting both Tremco Roofing and WTI. Essential Duties and Responsibilities: List the job's essential or most important functions and responsibilities of the Safety Service Representative (SSR). Include all important aspects of the job - whether performed daily, weekly, monthly, or annually; and any that occur at irregular intervals. Integrate safety into the roofing traditional sale process, WTI GC and GS sale processes. Evaluate and develop qualified leads and inspection assessments/reports for OSHA compliance to support the roofing sales representatives with the most current, up-to-date product selection, pricing, and installation processes. Provide product quotes for property owners, sales representatives, Tremco contractors, WTI construction/project managers, WTI field management, or any others as directed. Responsible for contributing to, validating, and signing off on all proposals and specifications. Accountable for project cost/budget variance & profitability. Responsible for updating regional administration with copies of proposals and providing all data needed to maintain proposal metrics for any region supported. Continually measure the impact of activities and adapt and refine the program of delivery with the Safety Solutions Director as necessary. Establish metrics and benchmark data, develop reports for specific programs and initiatives, and report outcomes to employees, stakeholders, and outside partners. Create and maintain a database of outreach contacts to foster and develop collaborative partnerships. Visit property owner/management customer locations and assess their rooftop safety needs, schedule inspections/assessments, provide fall protection presentations, or any other on-site activities as directed. Coordinate assessments, engineering assessments, training, and/or fall hazard risk inspections with outside partners. Prepare estimates using the electronic tools provided (i.e., spreadsheets, apps, etc.). Develop relationships with regional teams including but not limited to, sales reps, CSS, program managers, regional business managers, field supervisors, and field technicians. Develop processes and protocols for engaging sales representatives, customers, and contractors in alignment with regional and company objectives. Proactively identify potential barriers to participant success and work within WTI and outside agencies to deliver solutions. Provide excellent customer service to employees and outside partners. Meet deadlines for all reports, data, publications, and quotes requests. Travel as needed to visit customer locations and projects for project review, QC, customer presentations, quotes, and any other visit needed to promote or support the team. Work with WTI management to continually devise and implement process improvements and align programming to meet current and future company needs. Additional duties as assigned by supervisor. Must be able to use technology to perform company tasks (expense management, timekeeping systems, intranet, etc. Other Qualifications: Ability to travel up to 50% of the time within the designated region. Seasonal work and schedule are dependent on opportunities, which could increase travel during that time. Must be able to use Office 365 suite of programs (Word, Excel, Powerpoint) or be willing to get training. Ability to manage applications designed for the estimating and sale of safety products and services 2-4 years of experience in sales, roofing, safety systems, or a related safety field. Proven ability to develop strong, respectful relationships. Experience adapting to changing environments and navigating organizational dynamics. Demonstrated ability to maintain high levels of confidentiality, discretion, and integrity. Ability to articulate sales deliverables to employees and outside customers. Ability to learn and retain requirements of safety including but not limited to OSHA fall protection, ladder safety, etc. Ability to analyze a situation or area and assign products based on OSHA/ANSI-trained guidelines. Leak Administrator
JOB DESCRIPTION GENERAL PURPOSE OF THE JOB: The Leak Administrator is responsible for tracking, reviewing, calculating, and invoicing all TremCare, TremSource, and Warranty leak calls within a specified division. This position will ensure contractual requirements are managed, tracked, and executed in a timely manner. This position should be a very detail-oriented and organized professional who understands the importance of deadlines, communication, and customer-specific requirements. This role must have excellent communication and organizational skills as you will work together with regional dispatchers and regional administrators to ensure leaks are completed promptly and ready for invoicing. This position will also be training under the TremCare and Warranty admin team and assisting them with various tasks as needed. This position is intended to build a strong foundation for future growth. ESSENTIAL DUTIES AND RESPONSIBILITIES: Create/organize a master leak file within a specified division and be responsible for keeping all information accurate and up to date. Responsible for reviewing recently submitted leaks, determining coverage type (Tremsource, Gold, Platinum, Warranty, etc.), and depending on coverage either creating a billable leak line or linking to an existing line in SAP. On Warranty leak calls that are under a contractor obligation period, this individual will be responsible for creating POs to send to the contractor and monitoring PO status in SAP. Responsible for creating manual SO#'s in SAP for processes outside of LeakTracking (Republic warranties, etc.). Work with warranty administrators on missing/needed information when reviewing warranty leak calls. Responsible for contacting sales rep/sales admin on leaks that are reported on expired warranty agreements. Responsible for attaching roof plan drawings to SO#s in SAP. Work with the warranty adjustment team to gain approval for work beyond just a normal leak repair. Responsible for adding hours to SO# in SAP if extra time is required and approved. Responsible for tracking all leaks within a specified division. Responsible for following up with regional dispatchers on leak calls that have labor hours or costs posted but have not been completed in FSM/SAP. Responsible for reviewing all completed warranty leaks and determining if the scope being completed is to be covered under Tremco Warranty or if billable. Responsible for calculating and invoicing leaks within 4-7 days of field completion. Responsible for closing invoiced leak calls (TECO'ing service orders and corresponding contract line). Responsible for processing subcontractor invoices for payment. Ensure leak data has been entered in OLI before invoicing. Conduct and foster professional and timely communication (utilizing a wide array of communication methods) with the regional support teams for all work-related matters. Assist with managing data and information across multiple platforms including SAP, Excel, LeakTracking, OLI, and more. Responsible for maintaining and updating all information in LeakTracking (contractors, call roster maintenance, notification maintenance, reporting, etc.) Inputting leaks in OLI as needed. This position involves regular interaction with multiple departments and teams, including General Services, General Contracting field operations, Field Representatives, Business Operations, IT, Finance/Accounting, Warranty, Tremcare, Sales, Accounts Payable, Credit, and Products. Given the dynamic and fast-paced nature of the role, flexibility and adaptability are essential, as the Project Administrator must navigate and respond to evolving project requirements and organizational needs. ESSENTIAL DUTIES AND RESPONSIBILITIES: The Project Administrator plays an integral role in the project lifecycle by validating, organizing, and ensuring compliance for all project documentation and financial processes. Upon receiving SAP Sales Order information from Customer Service Representatives, the administrator confirms all compliance requirements based on the WTI Price Book Policy/Procedures and Contract Management Policy, completing checklists to ensure data accuracy and completeness. Key responsibilities include managing critical project documents, such as vendor applications, subcontracts, purchase orders, Master Service Agreements, specifications, certificates of insurance, payment and performance bonds, prevailing wage rates, certified payroll reports, and state-specific compliance documentation. Project Administrators also facilitate and manage compliance submissions as needed. This role includes dispatching service orders to WTI Technicians, tailored to the specific project type. For General Contracting projects, the administrator provides WTI Superintendents with essential service orders and field report links to streamline daily reporting. Additionally, they maintain a comprehensive tracking spreadsheet for all projects, providing up-to-date project insights. Throughout each project, the Project Administrator coordinates with Construction Managers, Field Representatives, field technicians, customers, and management to ensure seamless operations. Project management duties cover tracking time and expenses, managing payables over 30 days, monitoring plan versus actual costs, verifying that all documents (such as bonds, insurance, and submittals) are submitted and approved, ensuring costs align with budget expectations, and validating all projects older than 90 days. This role includes preparing customer invoices with accuracy and timeliness, adhering to book pricing, time and materials (T&M), not-to-exceed (NTE) limits, lump-sum pricing, and customer-specific billing requirements. Project Administrators must understand and apply WTI's commission and discount policies when processing invoices across both General Contracting and General Services. They also review projects for job closeout audits, updating planned versus actual costs, and completing a job closing checklist for final approval. The Project Administrator is essential to ensuring that WTI's policies and procedures are followed precisely, maintaining accurate financial data for reporting at month-end, quarter-end, and fiscal year-end. This role requires a comprehensive understanding of WTI's operational, financial, and compliance frameworks to support accurate project execution and reporting. Understanding of project budgets, cost tracking, and financial reporting. Ability to assist with financial documentation, such as purchase orders, invoices, and expense reports. Strong time management skills to handle project deadlines and ensure timely task completion. Ability to manage time effectively in a fast-paced environment. Ability to work well with a diverse group of people, from team members to external vendors. Skill in fostering a collaborative, respectful work environment. Strong focus on meeting the needs of clients and stakeholders, understanding project requirements, and keeping them updated on project progress.
