Fleet Administrator

Are you a practical, organised and adaptable administrator who enjoys variety and is happy to roll up your sleeves when needed?

We are looking for a practical, organised and flexible Administrator to support our Fleet team with day-to-day administration, scheduling, vehicle records and vehicle tracking activity.

Reporting to the Fleet Manager, the successful candidate will play an important part in keeping fleet processes running smoothly and ensuring accurate information is maintained across our systems.

This is not a purely desk-based role.

We are looking for someone who is versatile and willing to be hands-on when required, including working in and around vehicles, attending vehicles and supporting with the fitting and removal of vehicle cameras/tracking devices as well as ad hoc vehicle maintenance.

Full training will be provided.

The main purpose of this role is to provide reliable administrative and practical support to the Fleet department, helping to coordinate vehicle servicing, repairs, accident administration, new starter preparation, vehicle records, tracking systems and associated fleet activity.

Other key responsibilities include:


  • Coordinate vehicle servicing, MOTs, breakdowns, repairs and temporary or relief vehicles, ensuring bookings and updates are managed promptly.
  • Schedule appointments, update engineers' diaries and keep relevant departments informed of fleet arrangements.
  • Respond professionally to day-to-day telephone and email enquiries, chasing updates and resolving routine exceptions.
  • Maintain accurate fleet records in Sabre, including vehicle details, fines, penalties, spare keys and driving licence information.
  • Support vehicle accident administration, including liaising with employees, arranging repairs and maintaining insurance records.
  • Prepare vehicles and documentation for new starters and carry out routine checks on vehicle condition, damage and appearance.
  • Fit and remove vehicle cameras and tracking devices, including attending vehicles and working in vans when required.
  • Update Webfleet tracking information, monitor tracking unit performance and prepare reports on efficiency and follow-up actions.

Essential skills required:


  • Previous experience within a service delivery role would be an advantage
  • A full, clean driving licence is essential (2+ years held due to insurance requirements)
  • Excellent communication and organisation skills
  • First rate customer service skills
  • Good IT skills
  • Self-motivated with the ability to use own initiative
  • The ability to multi-task and work under pressure
  • Positive with an enthusiastic, can-do attitude to work

  • £27,976.00 to £29,120.00 per annum, depending on experience
  • Full Time - 40 hours per week, 8am to 5pm, Monday to Friday
