Job title: Administrator Port Health
Location of the job: Ashford TN25
Contract type: Temporary
Weekly hours: 20-28 Hours
Working hours and breaks: Office Based
Start date: ASAP

This role is looking for the candidate to be a quick learning bright and cheerful administrative support to the team.

This includes a mix of customer service, technical support, and administrative tasks.

Candidate must perform Customer service: Contacting customers, supporting them, and signposting them to the appropriate websites.

Technical support: Being a point of support for the technical teams.

Administrative tasks: Setting up accounts, creating jobs, and chasing documents.



Key Accountabilities:

? Customer Service:



  • Respond to phone and email inquiries about accounts and documentary checks.

  • Provide excellent customer service and resolve enquiries to completion.

  • Signpost customers to relevant websites and resources.


? Administrative Support:



  • Create and charge for simple jobs following set guidelines.

  • Manage enquiries using IT systems.

  • Monitor and register accounts using Excel to avoid duplication.

  • Undertake follow-up administrative tasks.


Company Team Support:



  • Provide general administrative support to the team.

  • Chase custom agents for required documents and upload them to the system.


? Other Duties:



  • Participate in emergency planning activities and training.

  • Assist with business continuity efforts in case of disruptions.

  • Ensure data quality and adhere to data protection guidelines and regulations.

  • Follow health and safety protocols

  • Complete safeguarding training.


Essential Criteria:



  • 5 GCSEs (or equivalent) at C or higher, including Maths & English

  • Fast & Accurate Typing (for efficient file note creation)

  • Proficiency in MS Office Suite

  • Minimum 1 Year of Customer Service Experience

  • Teamwork Skills (proven ability to work collaboratively)

  • Excellent Communication Skills (written & verbal)

  • Problem-Solving Skills (ability to make decisions under pressure)

  • Customer Focus (adaptable approach to diverse needs)

  • Efficiency & Accuracy (handling complex enquiries within deadlines)
