Role summary - Are you an organised and proactive professional looking to make a significant impact in a dynamic environment? Our client, a prominent organisation in London, is seeking a dedicated Executive Support Assistant to join their team and provide exceptional administrative support to their senior leadership.

This role offers an exciting opportunity to work closely with Directors, helping them achieve their strategic and operational goals.


Key Responsibilities:



  • Provide proactive, reliable, and confidential administrative support to Directors, including extensive diary and inbox management.

  • Act as a key interface between Directors and internal/external stakeholders, anticipating and responding to their needs.

  • Collaborate within the Executive Support Team to deliver a resilient and flexible service.

  • Assist in administrative duties across the wider Directorate, including managing performance indication information and Freedom of Information (FOI) Act requests.

  • Manage the Director's diaries, arrange meetings, prepare agendas, and ensure they are fully briefed and prepared.

  • Take accurate meeting notes, follow up on actions, and manage correspondence on behalf of the Directors.

  • Organise tele/videoconferences, book rooms, and handle inquiries professionally and confidentially.

  • Establish and maintain effective electronic filing systems and information retrieval processes.

  • Support Directors during times of crisis and emergency, and assist with discrete projects and research work as needed.


Requirements:



  • Experience providing secretarial and high-level administrative support to senior management.

  • Comprehensive knowledge of secretarial and administrative systems within a large, diverse organisation.

  • Experience attending high-level meetings, taking accurate notes, and ensuring follow-up actions.

  • Proven experience managing diaries, drafting correspondence, and handling a variety of stakeholders.

  • Experience in a pressurised environment and dealing with sensitive and confidential issues.

  • Knowledge of the public sector and current policy issues affecting local government is desirable.
